Mission Statement

It is the mission of the RACS IT Department to support the mission of the community services board by providing timely, accurate, and cost-effective information technology and data management services to staff, management, the Board, and outside agencies.

Description of Program Services

This administrative department manages the day-to-day operations of the agency’s computer networks, desktop and laptop systems, e-mail, and computer help desk. This department also provides data reporting services. IT staff provide client, performance, and outcome data and reports to staff, management, the Board of Directors, the Department of Behavioral Health and Developmental (DBHDS), and other grant agencies.

The agency uses software provided by Askesis Development Group (PsychConsult) and Microsoft Dynamics (Great Plains) as its management information and electronic healthcare record system. These comprehensive software packages manage finances, billing, data reporting, and medical records and notes for the agency’s various units. IT staff develop, enhance, and provide training for these systems and other technology as necessary. IT staff also build and maintain personal computers/printers for the majority of staff and manage local area networks and servers at several of the agency’s locations.

Success Stories from Program

In the years from 2007 through 2009, the agency has seen significant enhancements in the use of information technology.  The server capacity has quadrupled and a storage area network added to meet the requirements for the agency’s new data management and electronic healthcare software. 

In 2007 IT staff were involved in the installation and implementation of Great Plains, our new software for financial and human resources data collection and reporting.  In 2009 this software was upgraded to a new version.  The year 2009 also saw the installation and implementation of Business Portal.  This software allows staff to report time and leave data through the agency’s new intranet.

From 2007 through 2008 IT staff were instrumental in the transition to electronic health records.  In addition to the setup and installation of the new electronic healthcare software called PsychConsult, IT staff installed high speed scanners to allow medical record documents to be scanned into the electronic system as well as signature pads to capture consumer signatures electronically.

IT staff were key members of the Implementation Teams for these projects developing specifications for data reporting, billing, clinical documents and reporting. They also helped to document agency processes and to provide training for all staff.

In order to optimize connectivity to agency locations outside of Greenhouse Road, IT staff helped to establish virtual private networks (VPNs), to enhance Terminal Services, and to install air cards on agency laptops. The year 2009 also saw the completion of work with nTelos to establish a Metro Ethernet for the agency.
